These Terms & Conditions apply to placements provided by Try Medics ApS (“Try Medics”, “we”, “us” or “our”).
By registering for a Try Medics placement, you (“the participant”, “you” or “your”) agree to these Terms & Conditions.
Your booking relates to the destination, start date, duration, and program selected during registration and subsequently confirmed by Try Medics.
You are responsible for ensuring that the information provided during your application and registration is complete and accurate and for providing any documentation reasonably requested by Try Medics.
Where participation is subject to eligibility requirements, including age, educational background, or current enrolment in a relevant course of study, you must meet these requirements at the time of your placement.
Try Medics reserves the right to decline or withdraw a placement where a participant does not meet the applicable eligibility or placement requirements, or where information provided during the application process is materially inaccurate or incomplete.
The applicable placement fee and payment schedule will be provided during registration and confirmed as part of your booking.
Where a deposit is required, your place is secured once the required deposit has been received.
Any remaining balance must be paid by the deadline stated on your invoice or placement confirmation. Failure to make payment by the applicable deadline may result in your placement being cancelled.
The services included in your placement are those described for your selected program at the time of booking.
Depending on your destination and program, these may include accommodation, hospital placement, meals, local transportation, airport transfers, activities, excursions, local coordination, and other services.
Specific hospitals, departments, mentors, accommodation, schedules, activities, and other arrangements may change where reasonably necessary. We will aim to maintain the overall purpose and standard of your placement and inform you of significant changes.
Your hospital placement is designed to provide educational exposure to healthcare in a different clinical and cultural setting.
Placements are primarily observational and educational in nature. The level of participation available will depend on your level of training, the hospital, department, supervising healthcare professionals, local regulations, patient circumstances, and other local conditions.
You must follow the instructions, procedures, confidentiality requirements, dress codes, and professional standards of the hospital or other institution where you are placed.
Patient care and the work of local healthcare professionals will always take priority over the participant experience.
Unless expressly agreed otherwise with the relevant institution and supervising healthcare professional, participation does not give you authority to independently diagnose, treat, prescribe for, or otherwise assume responsibility for patients.
Try Medics will provide accommodation for the period included in your placement.
For the safety and comfort of everyone staying at a Try Medics House, visitors who are not registered Try Medics participants may only enter with prior permission from the local Try Medics coordinator.
You are expected to respect the accommodation, staff, fellow participants, neighbours, and applicable house rules throughout your placement.
You are responsible for travelling with a valid passport and obtaining the visas, vaccinations, insurance documentation, permits, and other documents required to enter and remain in your destination country.
Try Medics will provide guidance and supporting documentation for the relevant visa application where applicable. However, visas and entry permissions are issued by the relevant authorities and remain outside our control.
Immigration and entry requirements can change, applications can be delayed, and entry permission can be refused. Try Medics cannot guarantee that a visa or other entry permission will be issued.
You are responsible for completing the required applications correctly and within the recommended timeframe.
You must have suitable travel insurance covering the entire duration of your trip before departure.
Your insurance should provide adequate protection for your destination and individual circumstances and should, at minimum, include appropriate coverage for emergency medical treatment and repatriation.
We strongly recommend checking that your policy also provides suitable coverage for medical evacuation, emergency transportation, personal liability, cancellation, and travel interruption.
It is your responsibility to understand the terms, exclusions, and coverage of your chosen insurance policy.
Any mandatory local insurance required by your destination is separate from your responsibility to arrange suitable personal travel insurance unless explicitly stated otherwise.
Unless expressly stated as included in your program, you are responsible for arranging and paying for your international flights to and from your destination.
Try Medics may suggest suitable flight routes to assist with your travel planning. You remain responsible for choosing and booking your flights and ensuring they meet the arrival and departure requirements provided by Try Medics.
Where airport transfers are included, your flights must meet the arrival and departure requirements communicated to you before departure.
Try Medics is not responsible for airline schedule changes, cancellations, delays, missed connections, baggage issues, or other matters arising from flights booked independently by you.
Where a flight between destinations is expressly included as part of a combined Try Medics placement, Try Medics will arrange that specific flight.
Any request to change your placement must be submitted in writing to info@trymedics.com.
We will make reasonable efforts to accommodate requests to change your placement dates, destination, or other booking details. Changes remain subject to availability and arrangements already made for your placement.
A change is only confirmed once it has been confirmed by Try Medics in writing.
You may cancel your placement by notifying Try Medics in writing at info@trymedics.com.
If you cancel 60 days or more before your placement start date, all amounts paid to Try Medics for the placement will be refunded, minus any bank or transaction fees incurred in processing the refund.
If you cancel less than 60 days before your placement start date, your deposit is non-refundable. Any remaining placement fee already paid will be refunded.
Once your placement has started, no refund will be available if you choose to leave early or otherwise discontinue your placement.
Any independently booked expenses, including flights, insurance, vaccinations, visas, equipment, and other travel arrangements, are your responsibility and are subject to the cancellation terms of the relevant provider.
International placements depend on hospitals, accommodation providers, local partners, transportation, staff, and circumstances at the destination. It may therefore occasionally be necessary to change elements of your placement, including the hospital, department, accommodation, schedule, activities, or other arrangements.
Where this happens, we will make reasonable efforts to provide an appropriate alternative and maintain the overall purpose and standard of your placement. We will inform you of significant changes as soon as reasonably possible.
In rare circumstances, Try Medics may need to cancel a placement before it begins. Where we cancel your placement and are unable to provide a suitable alternative, we will provide a full refund of the placement fees you have paid to Try Medics.
Some placements may be subject to a minimum number of participants. Where the minimum is not reached, we may offer you an alternative start date or placement. If no suitable alternative can be agreed, you will receive a full refund of the placement fees paid to Try Medics.
On the rare occasion that a placement is cancelled because the required minimum number of participants has not been reached, we will aim to inform you at least 60 days before your placement starts.
Try Medics cannot reimburse independently incurred expenses such as flights, visas, vaccinations, insurance, or other third-party costs solely because a placement has been cancelled. We therefore recommend considering flexible travel arrangements and suitable cancellation insurance.
Circumstances outside our reasonable control may require us to change, suspend, relocate, or cancel a placement. These may include serious security threats, terrorism, political instability, civil unrest, natural disasters, epidemics or significant public health events, government restrictions, border closures, or similar circumstances.
If your placement has not yet started and Try Medics determines that it cannot reasonably proceed due to such circumstances, we will refund the placement fees you have paid to us.
We cannot reimburse third-party expenses such as flights, visas, vaccinations, insurance, or other independently arranged travel costs.
If such circumstances arise after your placement has started and we determine that the placement must be discontinued, any refund will be assessed proportionately based on the part of the placement that cannot be provided, less costs already incurred by Try Medics that cannot reasonably be recovered.
Our local team will take reasonable steps to assist participants and support safe onward travel or return home where circumstances require the placement to end early.
As a Try Medics participant, you are expected to behave responsibly and respectfully throughout your placement.
You must:
You must not undertake paid employment where this would be contrary to your visa conditions or local law. Participation in a Try Medics placement does not provide permission to work or otherwise exempt you from the laws of your destination country.
Try Medics reserves the right to intervene where a participant's behaviour negatively affects patients, hospital staff, Try Medics staff, fellow participants, local communities, the accommodation, or the safe operation of the program.
Serious or repeated misconduct may include:
Where appropriate, concerns will be raised with you and you will be given an opportunity to correct the behaviour. For serious incidents, Try Medics may suspend you from the placement or other program activities while the matter is assessed.
Try Medics may remove you from the program where misconduct is sufficiently serious or where problems continue after a warning. Immediate action may be taken without prior warning where reasonably necessary to protect patients, participants, staff, partners, or others.
If you are removed from the program due to your conduct, Try Medics will no longer be responsible for providing your placement, accommodation, meals, activities, transportation, or other program services, and no refund will normally be provided.
Try Medics will take reasonable steps to support participant safety through pre-departure information, local orientation, and on-ground support.
You remain responsible for following safety guidance, obtaining appropriate medical and travel advice before departure, arranging adequate insurance, and making responsible decisions during your free time.
Try Medics may restrict or refuse participation in an activity or placement where we reasonably believe this is necessary for health or safety reasons.
Your placement may involve services provided by hospitals, airlines, transportation providers, activity providers, accommodation partners, government authorities, and other independent third parties. Try Medics cannot control every action or omission of these third parties.
You are responsible for your passport, money, baggage, electronic devices, payment cards, and other personal belongings throughout your trip.
Try Medics cannot accept responsibility for loss, theft, or damage to personal belongings except where liability cannot lawfully be excluded. We recommend having appropriate insurance covering your belongings.
Nothing in these Terms & Conditions excludes or limits any liability that cannot legally be excluded or limited under applicable law.
If you experience a problem during your placement, please raise it as soon as possible so that we have the opportunity to help resolve it.
Your local Try Medics coordinator should normally be your first point of contact, as they are present at the destination and are often best placed to resolve issues quickly.
If the matter cannot be resolved locally, or you are dissatisfied with the response, please contact the Try Medics team in Denmark at info@trymedics.com.
Where possible, complaints should be submitted in writing and include enough information for us to understand and investigate the issue.
Raising concerns promptly is important, particularly where action could reasonably be taken during your placement to resolve the matter.
These Terms & Conditions and your agreement with Try Medics are governed by Danish law.
Any dispute arising from your agreement with Try Medics will be handled in accordance with applicable Danish law and the rules governing jurisdiction.
Nothing in these Terms & Conditions is intended to remove or restrict any mandatory consumer rights that apply to you under applicable law.
